Auto-Reload & Top-Up
Keep your agents running 24/7 with automatic credit reload and manual top-up options.
Why Auto-Reload Matters
Your AI agents work around the clock — evenings, weekends, holidays. If your Agent Fuel balance hits zero at 2 AM on a Saturday, your agents go silent until you manually add Agent Fuel. That means missed calls, missed appointments, and unhappy clients.
Auto-reload solves this by automatically purchasing Agent Fuel credits when your balance drops below a threshold you set. It's the single most important setting for keeping your agency running without interruption.
How Auto-Reload Works
Auto-reload monitors your Agent Fuel balance in real time. When your balance drops below your configured threshold, it automatically charges your payment method and adds Agent Fuel credits to bring your balance up to your configured target.
| Setting | What It Means | Example |
|---|---|---|
| Threshold | The balance level that triggers an auto-reload | $25 |
| Target | The balance level auto-reload refills to | $100 |
| Reload Amount | The difference — what's actually charged | $75 (target minus current balance) |
Example in Action
Let's say you set your threshold at $25 and your target at $100:
Balance Drops
Your agents handle calls throughout the day. Your balance drops from $48 to $24.
Threshold Triggered
The system detects your balance ($24) is below your threshold ($25).
Auto-Reload Fires
Your payment method is charged $76 (the difference between $24 and $100).
Balance Restored
Your balance jumps back to $100. Your agents keep answering calls without any interruption.
Tip: Set your threshold high enough to cover at least 2–3 days of normal usage. If your agents consume about $15/day in Agent Fuel, a $25 threshold only gives you about 36 hours of buffer if the reload fails on the first attempt. A $50 threshold gives you over 3 days — plenty of time to fix a payment issue.
Manual Top-Up
Sometimes you want to add Agent Fuel on your own terms — maybe you're onboarding a batch of new clients and want extra buffer, or you prefer to manage billing manually. The manual top-up options give you instant credit purchases in fixed amounts:
| Top-Up Amount | Best For |
|---|---|
| $10 | Quick bump for a light week or testing a new agent |
| $25 | Standard refill for a small agency (1–3 clients) |
| $50 | Mid-size refill for agencies with 5–10 active agents |
| $100 | Bulk refill for high-volume agencies or pre-loading before a busy season |
To make a manual top-up, go to Billing → Agent Fuel and click Add Credits. Select your amount, confirm, and the credits are added to your balance immediately.
Monthly Spending Cap
Worried about runaway costs? The monthly spending cap puts a hard limit on how much auto-reload can charge in a single calendar month. Once the cap is reached, auto-reload pauses until the next month — even if your balance drops below the threshold.
For example, if you set a monthly cap of $500, auto-reload will stop purchasing Agent Fuel credits once it has charged $500 that month, regardless of your balance. Manual top-ups are not affected by the spending cap — you can always add Agent Fuel manually.
Note: The spending cap resets on the 1st of each month at midnight UTC. If your cap was reached on March 28th, auto-reload resumes on April 1st.
Payment Method Management
Auto-reload and top-ups charge the payment method on file. You can manage your payment methods from Billing → Payment Methods:
- Add a card — Click "Add Payment Method" and enter your card details. We accept Visa, Mastercard, and American Express.
- Set a default — If you have multiple cards, click "Set as Default" on the one you want used for auto-reload and subscriptions.
- Remove a card — Click the three-dot menu and select "Remove." You can't remove your last card if you have auto-reload enabled.
What Happens When Reload Fails
Payment failures happen — expired cards, insufficient funds, fraud blocks. Here's how the system handles it:
First Attempt Fails
The system sends you an email and in-app notification that the reload failed. It will retry automatically in 1 hour.
Second Attempt (1 Hour Later)
If the retry fails, you get another notification. The system will try one more time in 4 hours.
Third Attempt (4 Hours Later)
If this attempt also fails, auto-reload is paused and you receive an urgent notification asking you to update your payment method.
Manual Intervention Required
At this point, you need to update your payment method or make a manual top-up. Auto-reload will resume automatically once a successful payment is processed.
Warning: If auto-reload fails and your balance hits zero, your agents stop answering calls. Callers will hear a generic voicemail greeting instead of your AI agent. This is why we recommend keeping notifications enabled and setting a generous threshold — it gives you time to fix payment issues before your agents go offline.
