Agency Settings
Configure your agency profile, notification preferences, and platform settings.
Your Agency Settings
Agency Settings is your command center for everything that defines how your agency operates on the platform. From your business profile to notification preferences, this is where you fine-tune the details that keep your agency running smoothly.
You'll find Settings in the sidebar of your Agency Portal. Only Owners and Admins have full access to all settings — other roles may see a limited view depending on their permissions.
Tip: Set up your notifications early — ideally on your first day. Missing a "credit balance low" alert could mean your agents go silent right when a client needs them most.
Settings Sections
Agency Profile
Your agency profile is the foundation of your account. This information appears in client-facing communications, invoices, and your white-labeled portal.
| Field | What It Does |
|---|---|
| Agency Name | Your business name — displayed in the portal header, emails, and client invitations. |
| Contact Email | The primary email for your agency. Used for account notifications, billing alerts, and support communications. |
| Phone Number | Your agency's main phone number. Shown in the portal footer and support pages. |
| Website | Your agency's website URL. Linked from the client portal and marketing materials. |
| Address | Your business address. Used for invoicing and legal compliance. |
| Timezone | Your default timezone. Affects how call times, reports, and schedules are displayed across the platform. |
Note: Changes to your agency name will update everywhere it appears — the portal header, email templates, and client invitations. Give your team a heads-up before making this change.
Notification Preferences
You control exactly which notifications you receive and how they're delivered. Notifications are grouped into categories so you can dial in the right level of awareness without drowning in alerts.
Notification Categories
| Category | Example Notifications |
|---|---|
| Billing & Credits | Low credit balance, auto-reload success/failure, subscription renewal, payment method expiring |
| Agents | Agent deployed, agent error, phone number assigned, agent paused |
| Calls | Missed call, voicemail received, call quality alert, booking confirmed |
| Clients | New client created, client portal login, client invitation accepted |
| Team | Team member joined, role changed, invitation expired |
| System | Platform maintenance, feature updates, security alerts |
Delivery Channels
Each notification type can be delivered through one or more channels:
| Channel | Description |
|---|---|
| In-App Bell | Appears as a badge on the bell icon in the portal header. Click to see your notification feed. |
| Sent to your contact email. Uses your agency's branded email template if configured. |
Warning: We strongly recommend keeping Billing & Credits notifications enabled on both channels. A failed auto-reload that goes unnoticed could take your agents offline during business hours.
Integrations
The Integrations section lets you connect third-party services to your agency account. Currently supported integrations include:
| Integration | Purpose |
|---|---|
| Cal.com | Calendar and appointment scheduling — lets your agents check real-time availability and book meetings during calls. |
| Zoom | Automatically creates Zoom meeting links when your agent books a virtual appointment. |
| Stripe | Payment processing for your agency subscription and Agent Fuel credit purchases. |
Each integration has its own setup flow — click Connect next to the integration you want, follow the authorization steps, and you're done.
Preferences
Fine-tune how the platform behaves for your agency:
| Preference | What It Controls |
|---|---|
| Default Voice | The ElevenLabs voice used for new agents. You can override this per agent. |
| Call Recording | Whether calls are recorded by default. Required for transcript generation. |
| Auto-Send Welcome Email | Automatically send a portal invitation when you create a new client. |
| Date Format | Choose between MM/DD/YYYY, DD/MM/YYYY, or YYYY-MM-DD across the platform. |
Saving Changes
Most settings save automatically as you make changes. For fields that require confirmation (like changing your agency name or contact email), you'll see a Save Changes button at the bottom of the section. The page will confirm your update with a green success banner.
Note: If you're on a team, other Admins and Owners can also change these settings. The last save wins — so coordinate with your co-admin if you're both in Settings at the same time.
